Job Description: We are seeking an administrative assistant to support multiple attorneys who work primarily on matters with large and small commercial developers, institutional lenders, corporations, partnerships and other entities in the sale, purchase, and leasing of commercial real estate.
Coordinate financing documents for closings
Draft contracts, correspondence and memoranda
Proofread and ensure quality of legal documents
Respond to a high volume of phone calls
Maintain calendars and schedule appointments
Maintain physical and electronic files
Assist attorneys in other practice areas when needed including litigation and residential real estate
Assists with other duties as needed
Minimum of 5 years legal administrative experience required, preferably in commercial real estate transactions
Must have excellent proofreading and attention to detail
Proficiency in Microsoft Office applications required
Must exhibit well-developed interpersonal, client relation and listening skills
Exceptional verbal and written communication skills required
Excellent organizational skills
Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere
Ability to work with PDF document assembly/management software
Ability to work with diverse personalities within various levels of the organization
Exercise sound independent judgment under minimal direct supervision
Ability to manage time efficiently and work independently as well as coordinate with a team
