Description: Harris Beach PLLC is currently seeking an IP Docketing & Special Projects Administrator (“Administrator”) to join its Intellectual Property (“IP”) Department. The Administrator will have a two-fold role. First, the Administrator will work closely with Harris Beach Attorneys, Docket Clerks and other members of the IP Department to maintain and monitor the Department’s patent and trademark dockets. In addition, the Administrator will, from time-to-time, work on a variety of special projects within the Department including, for example, patent and trademark portfolio management, IP due diligence, freedom to operate assessments, IP litigation support and assistance with patent filings.

Responsibilities:

  • Preparing and filing formal documents in a timely manner with the U.S. Patent and Trademark Office
  • Handling administrative aspects of U.S. patent prosecution
  • Monitoring and maintaining attorney(s) case dockets
  • Maintaining patent application files
  • Composing correspondence, reports, memoranda and legal documents
  • Creating and editing documents, memos, presentations and spreadsheets
  • Calendar management using Outlook and complex meeting planning
  • Coordinating travel arrangements
  • Time Entry and Billing

Qualifications:

  • Minimum three years’ of patent docketing experiencerequired
  • Experience as an executive assistant, IP paralegal or clerk required
  • Strong familiarity with rules and procedures of the USPTO and WIPO/PCT required
  • Significant experience with one or more commercial docket management systems (CPi and IPDAS) preferred
  • Paralegal degree or other college degree strongly preferred
  • Strong skills with MS Office and expertise with computer assisted legal resources required
  • Superior writing/editing skills and research skills
  • Strong project and task management skills
  • Must be highly detail-oriented and able to manage multiple high-volume priorities in a fast-paced environment
  • Maintains high standards of performance
  • Exhibits conscientiousness, dedication, self-discipline, and a sense of responsibility
  • Must have a professional, cooperative, positive and flexible attitude
  • Ability to work with diverse personalities within various levels of the organization
  • Must exhibit well-developed interpersonal and client relation skills
