Billing Specialist

The Billing Specialist will work with Collectors and Sales teams to resolve invoices with discrepancies which include short payment or overpayment. This process requires strong attention to detail and the ability to research a problem from multiple sources. In addition to resolving discrepancies, this person will also be assisting with the weekly and monthly invoicing process as well as reviewing newly signed contracts and setting up our internal client records to reflect the correct billing information. 

Industry Knowledge, Networking and Subject Matter Expertise:

  • Logging into and navigating timecards and work order in VMS (Vendor Management Systems)

  • Understanding of basic collections principles 

  • Familiar with temporary staffing (Pay rates, bill rates, mark ups, etc.)

Duties/Responsibilities/Primary Function:

  • Respond to emails daily, often within an hour or two

  • Research outstanding billing discrepancies AR Reps have ticketed

  • Work closely with clients, account managers, and AR Reps to resolve invoicing issues

  • Work with GBS Team to resolve talent overpayments and payroll reversals 

  • Lead calls related to difficult billing discrepancies as needed 

  • Review new contracts; update CW and client cheat sheet with billing terms 

  • PO tracking 

  • Assist with monthly billing tasks for special accounts

  • Collect feedback from clients to help resolve their billing issues

  • Assist with submitting invoices via email and online invoicing systems

  • Support Billing Manager with special projects 

  • Run and present billing activity reports to upper management

Required Skills/Abilities/Profile: 

  • Professional verbal and written communication with a focus on customer service

  • Excellent organizational and attention to detail

  • Proficient time management skills with a proven ability to meet deadlines

  • Advanced analytical and problem-solving skills

  • Ability to function well in a high-paced and at times stressful environment

Education and Experience:

  • Bachelors or Associates in Business/Finance or related degree is preferred

  • 2-3 years of work experience in lieu of preferred education 

  • Experience working in the staffing industry strongly preferred 

  • Talent Sourcing or Analytics background is a plus 

Physical Requirements: 

  • Prolonged periods of sitting at a desk and working on a computer of up to 8hrs per day.

  • Must be able to lift up to 15 pounds at times. 

  • Remote

The role is considered remote and can be supported from a number of locations that cover standard US working time zones. There will be cases where in person team meetings or attending conferences would be required.
